The Office of Facility Rentals supports our stakeholders by managing use (inside and outside) of our schools within our community.  With nearly seventy school sites, we provide a wide variety of space to suit our clients' needs.  Our goal is to provide rental space for your organization while controlling costs.

The Office of Facility Rentals is one of the primary contacts between our community and our schools.  A wide variety of groups (both non-profit and commercial) utilize our schools seven days a week.

A portion of the rental dollars is shared directly to the school, which gives the school additional funding to further support children's education.

Facility Rental Application

With the submission of a Facility Rental Application, the applicant verifies authorization to act as the legal agent of the named organization for the purpose of application for and use of the Douglas County School District’s facility referenced above. The applicant acknowledges receipt of Board of Education Policy KF, and Regulations KF-R-1,  and agrees to the conditions of building use, and the change/cancellation policy as specified herein. The applicant agrees that it shall be responsible for the conduct and control of all participants and spectators, and shall ensure that use of the above referenced facility is in compliance with all applicable federal, state, municipal, and School District safety regulations. The applicant agrees to provide adequate adult supervision during the use of the facility.  

The applicant recognizes the School District’s property and general liability insurance policies do not provide coverage to organizations using school facilities for non-school activities. The applicant is required to provide a certificate of comprehensive general liability insurance in the amount of $1,000,000 (minimum) per occurrence. The certificate of insurance must have an endorsement naming Douglas County School District RE. 1, 620 Wilcox Street, Castle Rock, CO  80104 as an additional insured.

In consideration of the applicant’s use of the School District’s facilities, the applicant agrees to indemnify, defend and hold harmless the School District, its respective agents, affiliates, officers, directors, servants, and employees of and from all loss, cost damage, injury, liability, claims, liens, demands, actions, and causes of action whatsoever arising out of, or related to applicant’s negligent or intentional acts, errors, and omissions or those of its employees, agents and participants in connection with the use of the School District’s facility.

For the safety of our students, staff and visitors, security cameras may be in use at any time. Smoking, tobacco use, and alcohol in all school district buildings and on all school campuses is prohibited at all times.  For additional information or to report violations, please call District Security at 303-387-9999.

Application Windows

May 1, 2018:

Sports Organizations - Rental applications will be accepted for dates August 1, 2018 - March 15, 2019

Year-Round Renters - Rental applications will be accepted for the entire 2018 - 2019 school year

November 1, 2018:

Sports Organizations - Rental applications will be accepted for dates March 16, 2019 - July 31, 2019

Year-Round Renters - Rental applications will be accepted for the remainder of the current school year

**All other rental applications accepted daily**

Change & Cancellation Policy

Changes to a rental agreement must be reported to the Rental Office at minimum 72 hours prior to the first day of the rental agreement.  Any change made within 72 hours of the start of the rental agreement may result in a $25 change fee.  

Cancellations to any event must be received to the Rental Office no later than 72 hours prior to the start of the event in order to receive a refund.  If cancellation occurs within 72 hours, no refund will be issued.  The District reserves the right to cancel building use activities should the space be needed for school or school-related activities.  This privilege will be used only when necessary as a result of unavoidable circumstances.  The Rental Office will make every attempt to provide a suitable, alternative space.  When school is canceled or released early for emergencies or weather conditions, scheduled community rentals will be canceled.

Facility Rental Requirements

We welcome your rental group to the Douglas County School District (DCSD). We ask you to treat our facilities with respect and care.  When you submit an on-line facility rental application, you agree to abide by the following guidelines as well as District regulation KF-R-1. 

1. Facility Rental agreements are required for all activities on DCSD schools / stadiums.  Contact the Office of Facility Rentals  at (720) 433-1112 or (720) 433-1113 for more information.

2. The applicant agrees they shall be responsible for the conduct and control of all participants and spectators, and shall ensure the use of the facility is in compliance with all applicable federal, state, municipal, and DCSD safety regulations. The applicant agrees to provide adequate adult supervision during the rental of the facility.

3. Rental fees (invoice) must be paid PRIOR to the start of the event. The Office of Facility Rentals accepts Visa / Master Card or check made payable to Douglas County School District.

4. Cancellation of any rental must be received to the Office of Facility Rentals no later than 72 hours prior to the start of the rental to receive a full refund. If cancellation occurs within 72 hours, no refund will be issued.

5. Groups must bring a copy of the completed Rental Agreement (Scheduled Detail Report), to all scheduled dates to serve as approved identification to District staff.

6. A responsible adult will be in charge of children at all times. Due to supervision concerns, the designated adult must arrive with or before participants. A responsible adult/door monitor will admit all participants into the building through the front door and then make sure the door is closed and locked securely behind them. No exterior doors are to be propped open at any time. No access is permitted through the child care doors.

7. Groups will remain in the approved areas only and will not venture into any other areas of the facility.

8. Start and end times will be strictly adhered to or overtime charges will be assessed by the Office of Facility Rentals.

9. Rental areas will be left in the same or better condition as when you arrived.  Return furniture and other items to their original location.  Use of DCSD materials is prohibited, organizations need to provide their own supplies. 

10. Storage on school property is not permitted without prior approval from School Administration and signed Property Waiver.

11. Food and drink are allowed in tiled areas only. No food or drink is allowed on carpeted areas or in gymnasiums.

12. Climbing or sitting on gym bleachers when not fully extended is prohibited.

13. Dogs are not allowed on school property, with the exception of Service / Guide Dogs.

14. Smoking, tobacco, alcohol use and firearms / weapons are prohibited at all DCSD facilities.

15. Fires, candles or incendiary devices are not allowed on school property.  

16. Sub-letting of any rental agreement is strictly prohibited.
